Summary:
We seek an experienced Administrative Assistant with clear, effective written and verbal communication skills who can support Co-Directors, staff and interns in an innovative organizational culture. Proficiency in Microsoft Office, (MS Word, Excel, and Powerpoint) and social media tools such as LinkedIn, Instagram, X (formerly known as Twitter) is needed. Proficiency in Adobe Creative Suite (Photoshop, Illustrator, InDesign, Flash Acrobat) is desirable. Knowledge of green building, architectural design and sustainable development concepts and practices preferred.
Responsibilities:
• This individual will support Co-Directors and staff
• Handle information requests and prepare correspondence
• Oversee, review incoming communications (e.g., email, letters, telephone); direct inquiries to appropriate staff person
• Assist with outgoing communications, in coordination with Co-Directors and staff as appropriate
• Manage contact databases and communications
• Assist with website maintenance ensuring information is updated on a regular basis
• Create and maintain calendars: organization, individual projects, events, meetings, travel
• Ensure office is well maintained with cleaning/maintenance responsibilities as needed
• Archive magazines and papers
• Track office supplies and order as needed
• Assist with Intern Program, including communications, orientation, coordination of expressions of interest
• Coordinate requests for visits, special issues and events
• Assist with support of Board of Directors
• Assist with open houses, event planning, logistics and coordination for internal and public events, including event scheduling, speaker and refreshment coordination, and registration; possible representation at public events
• Work with other staff to provide input, gather data, analyze information, and make recommendations regarding office administration
• Assist with travel arrangements
• Other duties as assigned.
The successful candidate will:
• Have recent, relevant and successful experience in an administrative support role, with preference for experience with a non-profit organization
• Enjoy working with people, with positive rapport with staff, volunteers, local, national and international visitors
• Proficient in Microsoft Office including MS Word, Excel, Powerpoint; and social media tools such as Facebook, X (formerly known as Twitter)
• Have clear, effective written and verbal communication skills
• Enjoy a diverse, innovative, organizational culture supported by highly motivated staff, interns and volunteers
Skills Preferred:
• Proficient in Adobe Creative Suite (Photoshop, Illustrator, InDesign, Flash, Acrobat), Adobe Contribute and Drupal/Wordpress
• Have knowledge of green building, architectural design and sustainable development concepts and practices
Hours:
20 hours per week, exempt. Weekly schedule, including days of week, to be agreed upon. This is an in-office position. Potential to expand into more hours or full-time. The office operates on a 9am – 5pm schedule.
Start Date: March 1, 2024 (or upon hire)
